General Information
Terms & Conditions of Booking

1. Bookings
a. The minimum age requirement for attendance on any of the courses advertised in this brochure is 18.
b. Some courses may have additional eligibility criteria, as detailed in the course listing.
c. To make a booking please complete the booking form and send by post or fax to the address shown.
d. Telephone bookings can be made with a credit or debit card payment.
e. Please pay the appropriate deposit, if booking more than 4 weeks in advance.
f. Please pay the full fee, if booking less than 4 weeks in advance.
g. If we are unable to take you on the course of your choice because it or the accommodation is full, we will return your remittance and enter your name on a waiting list. We will then inform you if and when a place can be offered.
h. If we are able to accept your booking, a confirmation and receipt of payment will be sent.
i. Acceptance of a booking will be entirely at the discretion of the Management.
j. Customers may be asked to supply additional information before a booking can be accepted.

2. Deposits
The following amounts are payable, as a deposit, to secure a booking.
Weekend courses (type A) £80 (residents) £55 (non-residents) Long Weekend courses (type H) £150 (residents) £95 (non-residents)
Short Midweek courses (type C) £80 (residents) £55 (non-residents) Midweek Courses (type S) £175 (residents) £110 (non-residents)

3. Final Payment
a. Invoice, joining instructions and, where possible, the course programme will be sent out at least 4 weeks before the start of the course.
b. The balance due will be shown on the invoice and accounts must be settled in full at least 14 days before the start of the course. If payment Is not received at this time, the Management reserves the right to cancel the booking, in which case normal cancellation terms will apply (see paragraph 12).
c. If you anticipate a delay in settling your account, please inform the Booking Office.

4. Residents
a. The course fees for residents include overnight accommodation, all meals, tuition and use of leisure facilities.
b. If booking as a resident, you can request a single or twin-bedded room. Customers who opt to share a bedroom with a friend or partner, when they make their booking, will each receive a 10% discount on the advertised course fee.
c. Bedrooms have private en-suite bathrooms and are equipped with telephones (with restricted functions), colour televisions and refreshment trays.
d. Bedrooms are serviced each day, and bed linen (sheets and blankets) and towels are provided.
e. Some bedrooms are located in annexes and not in the main building.
f. When booking, customers may request a ground-floor or first-floor bedroom.
g. Please note that first-floor bedrooms are not serviced by a lift.
h. Requests for specific bedrooms or for specific bedroom types will be considered at the discretion of the Management.
i. Acknowledgement of a specific bedroom request is not a guarantee thai the request will be met.
j. The Management will not accept bookings that are conditional on allocation of a specific bedroom or a specific bedroom type.
k. Bedrooms will be available for occupancy by incoming customers from 5.00 p.m. on the day of their arrival.
l. Customers should vacate their bedrooms by 10.00 a.m., on the day of their departure.
m. Residential accommodation is provided for overnight use and not for daytime use on the first or final day of the customers' stay.
n. When the residential accommodation is fully booked, customers may wish to arrange their own accommodation and enrol as non-residents (see paragraph 5). A list of local accommodation can be provided on request.

5. Non-Residents
a. The course fees for non-residents include morning coffee, lunch, afternoon tea, dinner, tuition and daytime use of leisure facilities.
b. Non-residents may book in for breakfast at an additional cost.

6. Course Fees
a. The fees for each course, as stated in this brochure, represent a complete package for residential or non-residential attendance (see paragraphs 4 & 5).
b. Anyone booking for a course will be invoiced for the course fee, as stated, in full.
c. No reduction can be made in respect of late arrival, early departure or absence during any part of the course.
d. No reduction can be made in respect of meals missed during the course.
e. Customers are advised that, on certain courses, they may incur additional costs for course materials etc. Such costs must be met in full during the course.

7. Non-Participants
a. Bookings are welcome from individuals and groups who wish to book accommodation and/or meals without participating in a course or organised activity.
b. Non-participants will be charged for accommodation and/or meals, according to a fixed scale of charges, which is available on request.
c. The range of facilities and amenities available to non-participants will be determined by the Management and use of such facilities will be administered at their discretion.

8. Travel & Transport
a. A route map will be sent to customers, as part of the joining instructions.
b. Parking for customers' cars is provided at the Concourse.
c. The Concourse mini-bus meets certain trains at Chichester railway station at the beginning of courses. The times are specified in the joining instructions. The mini-bus will also take customers back to the station at the end of the course. The cost of this
service is specified in the joining instructions.
d. For courses that involve visits and field trips, transport is usually provided by the Concourse. Unless otherwise stated, the cost is included in the course fee.
e. The mini-bus and coaches used by the Concourse do not have wheelchair access.

9. Catering
a. Meals and refreshment breaks are usually provided in the self-service dining room.
b. The breakfast, luncheon and dinner menus, which are determined by the Management, are displayed each day.
c. When customers are out on visits or field trips, appropriate catering arrangements will be made.
d. Vegetarians can be catered for, if notification is received in advance.
e. Some special diets can be catered for. Customers are asked to provide details of their requirements in advance. The Management may decline to meet some dietary requirements.

10. Disabilities
a. Wherever practically feasible, the Management will provide for the needs of those with disabilities.
b. A specially designed bedroom, with wheelchair access and mobility-aided bathroom, is located on the ground floor and can be reserved when booking (subject to availability).
c. Other ground floor bedrooms are available for use by those with mobility problems.
d. No specialised care can be provided for customers with disabilities. Those who need special assistance should be accompanied by a carer.
e. Customers are advised that some courses and activities are unsuitable for wheelchair users or those with other disabilities.
f. Most educational and recreational facilities within the main building are on the ground floor. However, access to some parts of the building involves a step up or down. Ramps can be provided to assist wheelchair users, where necessary.
g. The ground floor facilities in Earnley Place are on two levels and there is no wheelchair access to some parts of the building.
h. In relation to transport provided by the Concourse, customers with disabilities are referred to paragraph 8.e.

11. Pets
a. It is regretted that dogs and other pets are not allowed in the Concourse or within the grounds, with the exception of assistance dogs.

12. Cancellation by the Customer
a. Please inform our booking office, by telephone or in writing, if you wish to cancel a booking.
b. If notification of cancellation is received more than 28 days in advance, then half the appropriate deposit will be refunded.
c. If notification of cancellation is received less than 28 days in advance but before the commencement of the booking, then the deposit will be forfeit. Any additional payment made in respect of the booking will be refunded.
d. Notification of cancellation must be received before the commencement of the course: otherwise the cost of the booking is payable in full (see paragraph 6.c.)
e. Customers are advised to insure themselves against loss of fees in the event of cancellation (subject to the terms of the policy). Insurance cover is not offered by the Earnley Concourse or an appointed agent.

13. Provisos
a. It is intended that courses will be run in accordance with the advertised course description.
b. When circumstances dictate, the Management reserves the right to change plans or alter advertised details, without giving notice.
c. The Management reserves the right to cancel courses at their discretion.
d. If the Management has to cancel a booking, the customer will be informed as soon as practically possible. Any monies paid in respect of that booking will be refunded to the customer. The Management will not be liable for any additional cost of expense.
e. The Management reserves the right to refuse admission to any individual without stating a reason.
